Providence Uses IBM AI to Cut Hiring Admin Time by 90% Without Replacing Existing Systems

Providence Health collaborates with IBM to implement AI-driven automation, streamlining hiring workflows and internal transfers while integrating seamlessly with current HR systems.
Providence, one of the largest healthcare systems in the U.S. with 119,000 caregivers, faced complex and slow hiring processes impacting patient care. To address these challenges, Providence partnered with IBM Consulting to redesign its hiring workflows by leveraging AI and automation, without replacing any existing core HR systems.
The collaboration introduced RITA (Requisition and Internal Transfer Agent), an AI-powered digital worker built on IBM watsonx Orchestrate. RITA integrates with Providence's Oracle Fusion Cloud Human Capital Management and Recruiting environments, as well as other data sources, to unify and streamline tasks such as requisition creation, approvals, internal transfers, job marketing, and hiring status updates into one seamless user experience.
This approach simplified the workflow by identifying process bottlenecks, reducing manual approvals, and connecting disparate data and systems. As a result, hiring managers at Providence reduced administrative effort by 90%, caregivers began new roles on average 12 days earlier, transfer costs declined by 60%, and accuracy improved up to 70%. Importantly, these improvements strengthened internal mobility, making it easier for caregivers to transfer within the organization rather than leaving and reapplying as external candidates.
Carol McDaniel, Vice President of Talent Acquisition at Providence, emphasized the goal was to remove barriers and support caregivers' career growth without disrupting patient care. Greg Till, Providence’s Chief People Officer, noted the initiative framed AI transformation as a leadership challenge focused on improving work experiences rather than just implementing new technologies.
IBM highlighted that many organizations struggle with siloed functions that limit AI's potential. Through this partnership, Providence demonstrates how AI can orchestrate work across systems and teams, driving meaningful operational improvements and advancing the mission to serve vulnerable populations efficiently.
IBM continues to assist enterprises in rethinking critical business processes by combining AI, consulting expertise, and existing IT frameworks for better outcomes. This project underscores the potential for AI to enhance complex workflows in large, mission-critical organizations without disrupting established systems.
